Performance Excellence Partners, LLC is seeking a full-time remote Administrative Specialist to join our team and play a key role in supporting a contract with the United States Agency for International Development (USAID), Office of Civil Rights (OCR), Strategic Program Operations (SPO) Division. OCR is responsible for administering, monitoring, and evaluating the implementation of laws, policies, regulations, and Executive Orders related to the provisions of equal employment opportunity (EEO). The Administrative Specialist is responsible for providing guidance and assistance to Bureau staff in Washington and in the field on a wide-range of administrative services which include, space management, travel, procurement of supplies and equipment, human resources, performance management, and security. The Administrative Specialist position involves an extensive amount of notetaking for employees in need of assistance while traveling and/or supporting virtual TDYs. This position will occasionally travel.

As an Administrative Specialist, you will:
  • Provide Administrative Management of an Organization:
    • Independently perform administrative management functions, apply policies, provide advice, maintain databases, prepare paperwork, and maintain awareness of personnel actions.
    • Draft correspondence, reports, and provide guidance to managers and employees on administrative services.
    • Attend meetings, organize calendars and take detailed notes for employees in need of assistance.
    • Travel to CONUS (Continental United States) and OCONUS (Outside the Continental United States) temporary work locations as needed.
  • Be the Organizational Liaison for Supplies, Property, and Office Moves
    • Coordinate administrative activities for supplies, property, and office moves; conduct surveys of equipment and property utilization and advise management and staff on administrative procedures.
    • Serve as the organization's liaison with the USAID property and supply office.
  • Provide Facility Services, Property, and Supply Administration:
    • Coordinate facility services, property, and supply administration, including setting up and maintaining systems for controlling and tracking purchases and supply movement, taking inventory, and coordinating office moves.
    • Advise management and staff on administrative procedures.
  • Perform Administrative Program Planning Work:
    • Analyze established programs and support long- and short-range administrative planning activities, develop procedures, and serve as the contact person concerning administrative issues.
    • Develop, interpret, and implement procedures and guides for organizational services provided.
To do this job well, you will have:
  • A Bachelor’s degree and three years of professional experience; or a High School diploma and five years of professional experience.
  • Ability to work remotely, independently, autonomously and with minimal guidance; self-motivated and enthusiastic.
  • Ability to travel to CONUS and OCONUS (approx. 10-15%).
  • Ability to attend occasional meetings in-person at Ronald Reagan building in Washington D.C.
  • An active SECRET security clearance or ability to obtain and maintain one which requires U.S. Citizenship.
  • A valid CPR certification which is necessary to ensure the employee can respond effectively in the event of a medical emergency in the office environment, providing essential life-saving measures until professional medical help arrives.
  • Knowledge of Administrative Management: Extensive knowledge of administrative management principles, practices, and procedures, including space management, travel, procurement, human resources, performance management, and security.
  • Excellent written and oral communication skills with the ability to interface with all levels of the organization.
  • Demonstrated judgment, tact and diplomacy in dealing with diverse internal and external customers.
  • Strong attention to detail and accuracy on work, coordination, planning activities. 
  • Ability to establish priorities, given multiple actions with often short timelines.
  • Proven coordination skills in balancing multiple and varied tasks with differing deadlines.
  • Excellent organizational, interpersonal, and team skills and ability to collaborate with colleagues.
  • Demonstrated resourcefulness and ability to plan ahead and anticipate needs for the Bureau.
  • Proficiency in the English language.
  • Proficiency in Microsoft Office suite and Google Chrome desktop suite of tools. Proficiency in using office software and systems for managing databases, tracking purchases and inventory, and preparing administrative documents and reports.

It is preferred if you have:
  • Prior experience supporting federal government agencies.
